Course Renumbering Implementation Schedule

Due to the complexity and volume of the processes involved and the necessity of preparation far in advance of the actual inplementation, a 2 year schedule is required.

Course Renumbering

Spring 2006 - Spring 2007

Collect spreadsheets from academic units and upload to renumbering website. Using Senate course renumbering guidelines, check validity of new numbers chosen by departments. Send e-mails to departments to advise if additional approvals are needed and to list courses that require revised numbers.

Develop a report of all active cross-listed undergraduate courses. Determine whether the first digit of the new numbers match. Send spreadsheets showing all discrepancies to those who are responsible to make revisions.

Develop a report of all active undergraduate courses not offered for the past 5 years. Display on web and offer a form for sign-off to drop courses using Senate's rule.

Update website to display any changes made to renumbering spreadsheets.

Adapt the 123 spreadsheets so they can be used in an automated system of entry in the PeopleSoft system.

Change approximately 3,500 course numbers in the Student Administration system, using future effective dates.

Record documentation supporting all changes and verify data. Check for double use of 4-digit numbers.Track all new courses approved after automated changes and enter both 3 and 4-digit numbers. This must be accomplished in time for Degree Auditors to begin changing requirements (May 2007) and the roll of the fall 2008 course schedule (October 2007) using May 1, 07 is the target date for completion.

Monitor approvals of all course and academic requirement changes in College, School, and Senate Minutes using both old and new numbers simultaneously. As course changes are approved, check to see if a new number has already been assigned. If it has, remove the new number row and make the appropriate changes. Determine if, with the changes, the course still meets the renumbering rules. If so, reinsert new number row. If not, the department must be contacted to change the course number.

Produce printable guides showing number changes, by subject area for use of Registrar's and other University's staff.

Prepare spreadsheets to be used for automated entry of transfer credit course changes. Three reports will be used: One to activate new courses, another to change and renumber active courses, and a third to renumber and inactivate courses.

Add, drop and change more than 1000 courses in the Student Administration system using appropriate effective dates.

Summer 2007-
Fall 2007

Change 3000 course lists (many of which contain multiple courses).

Change 1200 credit restriction/out-of-sequence courses in the table. Update anti-prerequisites that are built in requirements.

Roll fall 2007 class schedule to fall 2008 and distribute files to departments for editing - due back Nov. 1. Monitor 8900 course section requests for accuracy.

Summer 2007 -
Spring 2008

Monitor approvals of all course and academic requirement changes in College, School, and Senate Minutes using both old and new numbers simultaneously. Determine if, with the changes, the course still meets the renumbering rules. If it does, the new data must be entered in both the old and new effective dated rows. If not, the department must be contacted to change the course number.

Roll spring 2008 class schedule to spring 2009 and distribute files to departments for editing - due back Nov. 1. Monitor 8500 course section requests for accuracy.

Change all numbers in the print Undergraduate Catalog (in requirement lists for all majors, minors, and concentrations), courses, and course prerequisites before beginning to make the regular changes.

To match the 3,750 new course numbers, change 5000 requirements in academic programs, most of which have multiple lines and multiple effective dated rows.

Update more than 4000 Enrollment Requirement Groups that must be in place before registration for summer and fall 2008 semester classes begins (mid-March 2008).

Update more than 4000 course prerequisites to reflect the new course numbers. Build and update the normal additions/changes that appear in School and Senate Minutes during the 06/07 and 07/08 academic years with the new numbering system. All changes must be in place when registration for summer and fall 2008 semester classes begins (mid-March 2008).

Build new academic program requirements in Student Administration system.

Update numbers in HTML on-line Catalog.
