Subscriptions to Magazines, Newspapers or Periodicals

Subscriptions to magazines, newspapers or periodicals may be processed using one of the following procedures:

  1. An invoice (Form CO-17UC) may be submitted to the Accounts Payable Department for direct payment to the vendor. The invoice should include the following information:
    • Name of magazine, newspaper or periodical.
    • Dates of subscription
    • Department and address to which the subscription is to be sent
    • Notation as to whether it is a renewal or new subscription
    • A copy of the renewal notice or brochure indicating the cost must be attached.
  2. The subscription may be charged on a departmental purchasing card.
  3. An employee may personally pay for the subscription if the cost if $499.99 or less and request reimbursement by submitting a properly completed Invoice Form CO-17UC along with supporting receipts to the Accounts Payable Department.
  4. The Vendor Order Form may be stamped with the direct pay stamp and sent to the Accounts Payable Department for proce ssing.
